The Bookkeeper/Administrative Assistant will be responsible for managing financial records and providing general office support. This role involves tasks such as maintaining accounts payable and receivable, reconciling bank statements, preparing financial reports, and handling administrative duties, including managing files, answering phones, and scheduling appointments. This position will ensure the smooth operation of both the financial and administrative aspects of the company.


Duties And Responsibilities


  1. Maintaining Financial Records - Recording financial transactions, including income, expenses, and other financial activities, often using accounting software like QuickBooks.
  2. Accounts Payable/Receivable - Managing invoices, payments, and receipts, and tracking accounts payable and receivable.
  3. Bank Reconciliation - Reconciling bank statements with company records to ensure accuracy.
  4. Financial Reporting - Assisting in the preparation of financial statements, reports, and budgets.
  5. Payroll Processing - May include calculating wages, withholding taxes, and processing payroll, potentially in collaboration with an external accountant.
  6. Tax Filing - May assist with tax preparation and filing, especially for smaller organizations.
  7. Office Management - Maintaining a well-organized office environment, including managing files, ordering supplies, and coordinating office equipment maintenance.
  8. Communication - Answering phones, responding to emails, and routing inquiries to the appropriate individuals or departments.
  9. Scheduling - Managing calendars, scheduling meetings, and arranging travel for staff.
  10. Document Preparation - Drafting and editing correspondence, reports, and other documents as needed.
  11. Data Entry - Accurately entering data into various systems, including accounting software and databases.
  12. General Clerical Duties - Performing tasks such as photocopying, emailing, filing, typing letters, assembling submittal packages, providing project assistance, etc.
  13. Provide clear and concise communication with the team and management.
  14. Must be process-oriented, with good communication and organizational skills.
  15. Must be able to work independently and resolve problems to our customers and teams satisfaction.
  16. Other duties as assigned.

Requirements and Qualifications

  1. High school diploma or state-recognized equivalent with an associate or bachelor’s degree in accounting, finance, or business administration preferred. QuickBooks experience is a plus.
  2. Prior experience in bookkeeping and administrative roles is highly desirable.
  3. Strong organizational, communication, and time management skills are essential. Proficiency in accounting software (QuickBooks) is highly desired.
  4. Attention to detail, accuracy, and the ability to maintain confidentiality are also important.
  5. Must have the ability to communicate and provide excellent customer service.
  6. Must have and maintain a valid state driver’s license with a clean driving record for the last three (3) years.
  7. Must be able to lift 75 lbs.
