Summary
A growing, mission-driven company is seeking a full-time Executive Assistant to serve as a right-hand partner to its visionary CEO in achieving growth targets. This impactful and fast-paced role is deeply rewarding, playing a pivotal part in the organization's success. The anticipated start date is January 2025, and applications will be accepted until the position is filled.

As the Executive Assistant, you will ensure the CEO’s time, energy, and focus are directed toward high-priority objectives. Beyond managing schedules and coordinating meetings, this role involves being a trusted advisor, creative problem-solver, and strategic partner, helping to drive key initiatives and shape the organization’s trajectory.

Key Responsibilities

Strategic Support & Problem Solving

  • Serve as a thought partner to the CEO, offering insights and anticipating needs.
  • Prepare meeting agendas, research briefs, and other materials.
  • Monitor organizational and personal priorities to ensure progress.
  • Address challenges proactively with a solution-oriented mindset.

Project Management

  • Lead and coordinate cross-functional projects to meet goals and deadlines.
  • Implement systems to streamline processes and improve efficiency.
  • Act as a liaison for internal and external stakeholders on key initiatives.

Administrative Excellence

  • Manage the CEO’s complex calendar and resolve scheduling conflicts.
  • Handle communication, correspondence, and logistical needs.
  • Coordinate travel arrangements and prepare detailed itineraries.
  • Draft, edit, and proofread documents for effective communication.

Team Collaboration & External Partners

  • Act as a bridge between the CEO and broader team, ensuring alignment.
  • Represent the CEO in meetings when needed, capturing key takeaways.
  • Interface professionally with stakeholders such as the Board of Directors and donors.

Requirements

  • Eastern Standard Time: Experience working according to EST is essential.
  • Work Ethic: Demonstrates excellence in high-pressure environments.
  • Problem Solving: Proficient in tackling complex challenges with creativity.
  • Project Management: Proven track record in managing projects from start to finish.
  • Emotional Intelligence: Skilled in navigating interpersonal dynamics with professionalism.
  • Communication Skills: Exceptional written and verbal communication abilities.
  • Adaptability: Comfortable with ambiguity and shifting priorities.
  • Technical Proficiency: Expertise in Microsoft Office, ClickUp, Google Drive, SharePoint, Canva. HubSpot experience is a bonus.
